The RGS-IBG Annual International Conference attracts over 2000 geographers from around the world. This year, the conference is taking place online, with in-person elements if it is possible to do so.
We are delighted to confirm our plans for the in-person elements of the annual conference. The Society is continuing its Covid-secure protocols, so we will be managing numbers for in-person attendance. We will be able to welcome 160 in-person delegates each day, including those presenting in our in-person sessions.
We have a fantastic programme of in-person sessions taking place at the Society, including our Chair’s plenary lectures. You can see the programme of in-person sessions at https://event.ac2021.exordo.com/ (sessions allocated to rooms marked with 'RGS-IBG').
Those presenting in sessions in the Society's Ondaatje Theatre or Education Centre are already on the list for in-person attendance on the days they will be presenting and will be contacted separately.
Given the limits on in-person attendance, we will run a ballot system. To be included in the ballot, please complete the form here by Monday 9 August to indicate which days you wish to attend. To maximise the number of people who can attend over the four days of conference, we encourage delegates to consider attending the in-person event for one day.
While we will have quiet space and wifi available for those wishing to attend virtual sessions, we recommend that you do not attend in-person on the day of any virtual session(s) in which you are presenting. Please see the programme at https://event.ac2021.exordo.com/
Those attending in person will be expected to abide by any UK government guidance regarding self-isolation or quarantining upon arrival in the UK. You will also be expected to abide by any protocols put in place by the Society for events in the building, and the Society’s code of conduct.
To be considered for in-person attendance, you must have already registered for the virtual event. Registration is available here. Those who attend in-person will have to pay an additional supplement per day they attend (£48/day for Society members and £54/day for non-members) to cover the direct costs of running the in-person events. If you are allocated a place, we will contact you with a secure link to complete your in-person registration and payment for the conference.

More information about the venue
Accommodation is not included in the conference registration fee and delegates are responsible for making their own arrangements. The conference organising committee cannot recommend or book accommodation for delegates. A large range of youth hostels, bed and breakfasts, self catering apartments, university rooms and hotels are within a one-and-a-half mile radius of the conference venue.
Delegates are also encouraged to look at local transport links to the Society and consider hotels further away from the conference venue. The following further accommodation search options may also be helpful:

All conference delegates who need a visa to enter the United Kingdom are advised to arrange this as early as possible.
Visa support letters may only be requested from the Society once a delegate has had a submission accepted for the conference programme, paid the virtual and in-person registration fee in full, and provided full contact details from a recognised institution.
To request an invitation letter for visa applications, please send an email to firstname.lastname@example.org and include the following information:
Your university/place of work's name and address, to which the letter will be addressed (the letter cannot be processed without this information)
The dates you intend to be in the UK (arrival date and departure date)
Any additional information you would like included in the letter
We will send an electronic copy; printed signed originals will be sent via post upon request.
The invitation letter from the conference organisers is not an official invitation to enter the UK. Delegates are expected to organise and pay for all their expenses.
